Apollo to cold outbound · when to send inside, when to hand off

Keep Apollo when your team is small. Move send to Smartlead when mailbox ops get big. Paying to see an email is not the same as paying when that contact leaves. Bounce refunds die when you leave Apollo. Turn off dual sequences.

Apollo finds people. It can also send email.

Those are two different jobs.

When your team is small, one tool is enough. When you have lots of mailboxes to warm and watch, send should live somewhere else. Keep Apollo for the list. Use Smartlead for volume send. If your team already uses Instantly, keep Instantly. Do not switch just to switch.

Stay in Apollo when the team is small

Stay if you have only a few mailboxes.

Stay if your reps need one place to find people, email them, call them, and log the work.

Stay if you are still testing outbound before you buy more inbox tools.

In that world, Apollo is fine as the sender.

Hand off send when mailbox work becomes the job

Hand off when you run many connected mailboxes.

Hand off when warmup (small safe mail so new inboxes look normal before cold volume) and placement tests take more time than writing copy.

Hand off when you run outbound for more than one client and need hard walls between them.

Then Apollo still builds the list. Smartlead (or Instantly) sends it.

Paying to see an email is not the same as paying to take it out

This is the part people miss.

Inside Apollo, you spend credits to unlock an email so you can see it. Reveal is Apollo’s word for that unlock. After that, the address shows in Apollo.

When that contact leaves Apollo through a CSV download or a CRM sync, you spend a different credit. That is an export credit: a fee when the contact leaves Apollo.

The same person can cost you twice. Once to unlock and see the email. Once to take them out.

If CRM sync is already on, do not also download a CSV of the same people in the same week. You pay the leave fee from two doors.

A big list is not free just because the emails already look unlocked on screen. Count leave fees before you click export.

Apollo only refunds bounces if you send inside Apollo

Apollo will give back one email credit if a verified address bounces.

Apollo’s own help says that refund only works when you send that mail through Apollo within 30 days.

If you export to Smartlead or Instantly and the address bounces there, you do not get that credit back.

Your domain can still get hurt either way. Credits do not fix that.

So do not export and hope. Check the list again before you send cold volume outside Apollo.

A blank email column is usually a setup miss

Apollo does not fill in emails just because you hit export.

If you never unlocked the email so you can see it, the CSV can leave that cell empty.

If the Email field is turned off in the export settings, the cell can be empty even when Apollo has the address.

Unlock the email first. Turn Email on in the export settings. Then export.

Do not let two tools email the same person

Turn off Apollo sequences for anyone you move into Smartlead or Instantly.

If both tools send the same person, you look spammy. Domains get hurt.

Also check the emails again after export. An old green check in Apollo is from the day you unlocked the row. Jobs change. A cheap second check beats weeks of burned inbox reputation.

Start with a CSV. Automate later.

Download a CSV while the list is small.

When weekly downloads eat your week, automate. Pull from Apollo on a schedule. Push into Smartlead in batches of 400 or fewer.

You do not need that setup on day one.

What to do this week

Count your mailboxes.

If you have a few, and your reps live in one tool, keep sending in Apollo this week.

If mailbox work is the pain, plan the handoff.

Before you export: unlock emails so you can see them, turn Email on in the export settings, and count leave fees (export credits). If CRM sync is on, pick CSV or CRM for those contacts. Not both.

After you export: check the list again. Turn off Apollo sequences for those people. Assume Apollo will not refund bounces outside Apollo.

Build the next list in Apollo. Open Smartlead when send work is the bottleneck. Keep Instantly if that is already home.
